Apple Mail is an in-built app that comes with macOS. Although it is a great email client, some users feel it is more of a hassle than other email services like Gmail.

Mark Messages Using Flags

Your inbox might be full of emails. But only some of them need your further attention.

You don’t need to search for them manually, you can mark the important ones with flags. Then, you can access them quickly. 

You can flag messages by right-clicking on the email and choosing the flag color of your choice. For example, you can choose between yellow, red, gray, purple, green, blue, and orange. 

For instance, if a message requires your immediate response within twenty-four hours, mark it with a red flag. If you have completed a task, mark the message with a green flag.

Filter The Unread Emails

If your inbox is full of unread messages, open the Mail application and look for the filter button at the top of the message list.

Enable the Unread filter, and you will only see all the unread messages. You can click the same button again to see both unread and read messages in the inbox.

Enable Or Disable Image Preview

You can get a preview of the files if you receive emails with attached PDFs or emails. Unfortunately, while this is a good feature, the app works slowly. 

To speed up the application, close the app > launch Terminal and paste the command defaults write.com.apple.mail DisableInlineAttachmentViewing -boolean yes or defaults write com.apple.mail Disable InlineAttachmentViewing 1. 

Relaunch the Mail app. 

Use Apple Mail Search To Find Messages Quickly

Searching for emails can be time-consuming and messy. Typically, email services offer a set of tools to help define the search query. 

For instance, if you want to find an email from a specific sender, you can enter the email address of the sender and get the desired results.

You can also search by entering the subject of an email or the specific attachment you are looking for. 

Block Spammers

You can eliminate annoying emails by removing and blocking all messages from spammers. To do this, open the Mail app > Preferences > Rules > Add rules.

Then, add the email addresses you wish to block, and they will automatically get blocked. You won’t receive messages from those senders. 

Create Group Lists To Send Messages Quickly

You don’t need to manually copy and paste the entire list of email addresses when sending a message to a group of recipients.

Instead, you can utilize the in-built Contacts program that comes with macOS by going to File > choosing New Group > naming the group and going back to All Contacts > dragging and dropping the recipients into the new group. 

Open the email app > create a new message > type the name of the group > send the email.

Add Google Contacts 

You can quickly sync your Google Apps or Gmail contacts with the Contacts Application on your Mac device. This is also the best way to access your contacts offline.

Therefore, open the Contacts App > click Contacts > Preferences and go to the Accounts tab.

Choose the plus sign and ensure to select the CardDAV option from the drop-down menu. Next, enter your Google Apps or Gmail account in the user name section. 

Use Shortcuts 

If you want to send emails quickly, use Apple Mail shortcuts. You can even create custom keyboard shortcuts by clicking the Apple menu > System Preferences > Keyboard > Application Shortcuts > clicking the plus button to add new combinations. 

Create Email Templates 

Refrain from wasting your time writing the same message over and over again. Instead, you can create and save email templates so you can use them to send emails more quickly. 

Open the Mail app > create a new message > type what you need to and go to File > Save as stationery > name the file.

When you start drafting an email the next time, look for the Stationery icon and then choose the saved template.
